- Position Type: Part Time (20-25 hours per week, open to future full time)
- Salary: $20,000 – $30,000 (Commensurate with Experience)

Peers: Marketing & Social Media Manager; Global Programming Director - Location: Remote

Equip & Grow is an international Christian ministry with 20+ dedicated staff and over 100 passionate volunteers in 14 countries dedicated to equipping children’s ministry leaders around the world so that more children can connect to God’s Word.
We develop culturally relevant curriculum, training programs, and coaching systems that serve local churches and ministry leaders across Latin America, Brazil, India, Africa, and other developing regions. JOB DESCRIPTION
The Operations Manager provides coordination, management and structure for Equip & Grow’s central operations, ensuring smooth and efficient daily workflows that support the ministry’s mission to equip leaders and impact children worldwide. The operations manager runs HOW the organization runs.
This person ensures that Equip & Grow operates with excellence, integrity, and efficiency by providing administrative support and oversight across finance, HR, donor care, and program logistics activities. The Operations Manager builds and maintains systems and processes that enable ministry leaders, staff, and volunteers to flourish in their mission. The ideal candidate is a proactive, detail-oriented servant-leader with strong organizational and cross-cultural communication skills.
CORE RESPONSIBILITIES
Donor Operations
Ensures operational excellence and integrity in donor processing and record-keeping.
- Oversee the donation process—from receipt to tracking, monitoring, and reporting -ensuring prompt and accurate recording of gifts.
- Maintain CRM system and tools and donor records with accuracy, confidentiality, and data protection. (We use Little Green Light)
- Support fundraising efforts through reports, metrics, and data insights.
Ensure alignment between CRM and accounting platforms for consistent donor and financial data. - Coordinate with the Marketing & Social Media Manager to ensure donor engagement aligns with ministry updates.
Note: Donor engagement and relationship management are led by the Marketing & Social Media Manager and Executive Director. This role provides operational and administrative support.
Human Resources & People Systems
Fosters a Christ-centered, compliant and efficient and effective work culture.
- Ensure that domestic and international staff members are getting paid on time and with accuracy.
- Ensure HR and volunteer policies (including safeguarding and child protection) are current and implemented globally.
- Support performance review process and professional development planning for staff, teachers, and volunteers.
- Ensure personnel files, agreements, offer-letters, and volunteer documentation are properly maintained in compliance with legal and organizational standards.
- Partner with the Executive Director to promote spiritual formation and staff care initiatives.
Finance & Administration
Manages and coordinates accounting, budgeting, and compliance functions to ensure stewardship and transparency.
- Manage accounting and reporting activities in partnership with the bookkeeper. (We use QuickBooks Online.)
- Lead and monitor the annual budgeting process and monthly variance analysis.
- Maintain compliance with nonprofit regulations (IRS, payroll, grant reporting, etc.).
- Support preparation of financial reports for the Executive Director and Board of Directors.
- Tracks and maintains vendor contracts and general operational compliance.
Governance & Systems Support
Supports organizational integrity and compliance through documentation, systems, and board administration.
- Provide administrative support for Board meeting preparation (agendas, reports, presentations, and documentation. We use Canva.)
- Maintain organizational records, licenses, contracts, and key policies. (Together with our Secretary of the Board.)
- Continuously improve internal systems for efficiency, data accuracy, and collaboration.
- Develop and maintain internal financial controls (overseen by the Executive Director and Board of Directors) and documentation standards to support audit readiness.
- Support the external audit process for the Board of Directors in partnership with the Executive Director and audit partners.
QUALIFICATIONS / JOB REQUIREMENTS
Required:
- Deep alignment with Equip & Grow’s Christian mission and values; actively lives out their faith in the workplace.
- Demonstrated commitment to global ministry, missions, or cross-cultural work.
- Experience in operations, administration, project management, finance, church/ministry leadership, or related fields.
- Proven ability to build, organize, and improve systems and processes.
- Strong attention to detail with consistent follow-through and accountability.
- Comfort working with budgets, financial reports, and operational data.
- Experience coordinating projects or teams in a remote or multi-cultural environment.
- Clear and gracious written and verbal communication skills in English.
- Proficiency or strong working ability with financial and organizational tools (e.g., QuickBooks, Excel, CRM platforms) — or demonstrated ability to learn systems quickly.
- Ability to travel domestically and internationally (up to 10%).
- Strong interpersonal skills with a collaborative, servant-hearted approach.
Preferred (Not Required)
- Missions experience or time living/working cross-culturally.
- Experience in nonprofit, church administration, or children’s ministry settings.
- Fluency in a second language like Spanish, Portuguese, or Hindi.
- Experience supporting board reporting, compliance, or budgeting processes.
