Position Summary
The Partner Support Specialist provides crucial administrative and research support to the Partnerships department, ensuring efficient communication, accurate record-keeping, and data-driven insights. This part-time role will work 20 hours per week. This role focuses on streamlining administrative processes while also contributing to the effective management and growth of partner relationships. The ideal candidate is highly organized, detail-oriented, possesses excellent communication skills, and has a strong aptitude for data analysis and research.
Functions and Responsibilities
Administrative & Communications Support (60%)
- Draft and manage correspondence, including emails, reports, and meeting summaries.
- Ensure timely follow-up on communications, maintaining a high level of responsiveness.
- Prepare meeting agendas, briefing materials, and follow-ups to maintain alignment with key initiatives.
- Provide logistical support for meetings, ensuring smooth scheduling and execution.
- Organize and maintain confidential files, documents, and records related to partner relationships and agreements.
- Maintain and update CRM records to ensure accurate and up-to-date partner information.
Partner Communications & Newsletter Development (20%)
- Assist in writing and coordinating the quarterly partner newsletter, ensuring it reflects key updates and insights.
- Work closely with the Partnerships team to gather relevant content and success stories for the newsletter.
- Ensure clear and engaging communication that strengthens partner engagement.
Team Coordination & Project Tracking (15%)
- Track key action items and deadlines from meetings, ensuring accountability within the team.
- Proactively remind team members of upcoming milestones and deliverables.
- Maintain and update task management tools to facilitate project progress.
- Identify and flag potential bottlenecks to keep initiatives moving forward efficiently.
Partner Research & Support (5%)
- Conduct research on potential and existing partners, gathering data on their background, activities, and engagement.
- Assist with partner onboarding by compiling relevant information and documentation.
- Track partner interactions, agreements, and engagement trends, identifying opportunities for improvement.
Position Requirements
Professional
- Written and Verbal Communication: Exceptional writing skills for drafting clear and concise correspondence, reports, and newsletters, along with strong verbal communication abilities to engage effectively with partners and team members.
- Organizational and Logistical Skills: Excellent organizational abilities to manage multiple tasks, files and provide logistical support for meetings, ensuring smooth scheduling and execution.
- Collaboration and Engagement: Proven ability to work closely with teams to gather relevant content and success stories, fostering strong partner engagement through clear and engaging communications.
- Project Management and Accountability: Proficient in tracking key action items, deadlines, and project progress, while proactively reminding team members of upcoming milestones and identifying potential bottlenecks.
- Research and Data Management: Strong research skills to gather data on partners, assist with onboarding, and track interactions and engagement trends, ensuring accurate and up-to-date information in CRM records.
