The Chief Administrative Officer (CAO) is responsible for providing ministry-wide direction of administrative functions to support IFI’s entire ministry to advance our mission. This role involves developing and executing strategies to enhance IFI’s overall administrative effectiveness. The CAO will also design, implement and oversee ministry-wide administrative structures, systems, and processes. Additionally, this role requires building relationships with vendors, and ensuring proper stewardship of IFI’s ministry resources and funds. The CAO reports directly to the CEO and is a member of the Senior Leadership Team.

Responsibilities

The Chief Administrative Officer will (list not all inclusive):

  • As a key member of the Senior Leadership Team, the CAO will play a strategic role in the organization’s overall leadership and help guide the ministry’s direction and strategy
  • Design, implement and oversee ministry-wide administrative structures, systems, and processes to ensure the effectiveness of IFI’s essential operations
  • Oversee the daily administrative operations of the organization, including, but not limited to Finance, Facilities, Human Resources, Information Technology, and Communications functions
  • Provide leadership to the CEO and Senior Leadership Team on all matters pertaining to finance policy to ensure that financial strategies, decisions and functions effectively facilitate the achievement of ministry goals and maintain its financial health
  • Direct the ministry’s financial management in accordance with generally accepted accounting principles (GAAP), regulations, and policies and ensures that the ministry’s day-to-day operations proceed efficiently and effectively
  • Identify legal requirements and government reporting regulations affecting responsible functions and ensure policies, procedures, execution, and reporting are in compliance with Federal, State, and local laws
  • Develop and implement best practices and tools to ensure a well-controlled yet flexible organization that has strong fiscal management, internal controls, project coordination, cross-team communications, and efficient workflows
  • Directly supervise administrative directors, acting as the primary liaison between the CEO and staff with administrative responsibilities and will streamline and filter communications, objectives and directives required to ensure that all essential operations are successful, while providing direct reports with
    • Individual coaching, oversight, assessments for performance, and expectations for full funding (paid staff)
    • Staff care and prayer, fostering an environment for growth and spiritual health, ensuring staff members are vision driven
  • Work closely with the Chief Development Officer and Chief Ministry Officer, building collaborative relationships with department heads to ensure cohesiveness between the International Student Ministry, Ministry Support and Fundraising functions
  • Develop and maintain financial and prayer partnerships for the budgeted needs of the role by sharing the vision of the ministry, ensuring minimum monetary standards are achieved, partner care, and sending out a ministry newsletter at least every other month to partners
  • Other duties, as assigned. Duties/responsibilities may change at any time.

Qualifications, including Spiritual Characteristics

  • Adherence to IFI’s statement of faith, core values, and policies, as well as ECFA Standards practiced by IFI
  • Is faithful, loyal and dedicated to IFI’s mandate from the Lord to extend life-changing hospitality and friendship to international students out of reverence for Jesus
  • Godly character that follow the examples defined in I Timothy 3 and Titus 11
  • A competent development tactician, an excellent organizational development expert with excellent attention-to-detail
  • Person of prayer and spiritual maturity, who remains teachable and prayerful
  • Team-building experience & experience in working with multicultural teams and enjoys encouraging and helping others succeed
  • Strong analytical and problem-solving skills and ability to work under stress and be flexible
  • Exhibits a positive, professional manner, is a self-starter, able to work independently
  • Has discernment and strong interpersonal and communication skills
  • Proficient with technology, including Microsoft Office and Google applications

Required Education and Experience

  • 5-10 years of experience supervising a team and driving strategic initiatives
  • Experience with Salesforce, nonprofits (specifically Christian ministries) are a plus

Position Type, Expected Hours of Work, and Travel

Working environment & work hours can be diverse, including working from home, with permission from the supervisor. This is a full-time, salaried, exempt, deputized-fundraising position. Working on evenings and/or weekends may be needed occasionally. Attendance at IFI retreats is expected. Other conferences may be attended as well.

Physical Requirements

The role requires an employee to frequently sit, stand, walk, and reach with hands and arms. The employee must frequently lift and/or move objects up to 10 pounds and occasionally lift and/or move objects that weigh up to 30 lbs.
