Crossworld, a non-profit mission agency based in Kansas City, Mo., is a formative community of disciple-makers from all professions bringing God’s love to life in the world’s least-reached marketplaces. We have an immediate opening for a full-time Operations Coordinator for our Advancement department to join our motivated, entrepreneurial, and mission-focused team.
This position reports to Crossworld’s Vice-President of Advancement and will support the Advancement Team, which includes Recruitment, Development, and Communications. This position is hired as a full-time employee of Crossworld.
For most of the history of missions, most believers have been relegated to a behind the scenes support role when it comes to the Great Commission. We have said, “You can pray, and you can give. But leave the full-time missionary task to religious professionals.” Meanwhile, the world has changed. Many least-reached peoples live in countries inaccessible by a historic approach of sending vocational religious workers. In recent years, Crossworld recalibrated its vision and mission to seek and send disciple-makers from all professions. Today, Crossworld has more than 275 cross-cultural workers in 30 different countries committed to disciple-making and the development of the church through many diverse professions. These include sports, medicine, manufacturing, education, business, youth and children’s ministry, vocational missionary work and much more.
This position requires an individual who is highly self-motivated with experience in administrative and project-based work. He or she must be a true team-player, able to make sensitive decisions and work with donors, churches, co-workers, and vendors in a caring and positive manner. The ideal candidate will be organized, an outstanding verbal and written communicator, able to effectively convey thoughts in articulate, compelling, and at times in sensitive ways.
This individual will be responsible for a wide range of administrative and project-based tasks and must understand how accomplishing these tasks in a timely and effective manner serves Crossworld’s larger purpose and helps us achieve our mission.
The Operations Coordinator’s role advances Crossworld’s disciple-making vision by increasing the effectiveness of the Advancement department including Recruitment, Development, and Communications in the areas of administrative duties, representing Advancement to constituents, and managing specific projects.
· Assist the overall Advancement Team as follows:
o Assist the team administratively in areas such as process improvement, problem-solving, and the coordination of events and meetings
o Create and manage KPI (Key Performance Indicator) and dashboard reports for each department and the overall Advancement Team
o Organize, monitor, and manage assigned strategic projects as well as coordinate and communicate with appropriate Crossworld staff, Shared Service staff, vendors, and partners to ensure on-time and on-budget delivery of assigned initiatives
o Assist the VP of Advancement with tasks that include: the organization and facilitation of meetings, calendar management, research, task delegation, departmental budget tracking and reporting, and participation in ad-hoc meetings as requested
o Approve timesheets and vacation requests for direct reports to the VP
o Coordinate monthly and quarterly meetings of the Advancement Team and Executive Team, whether online or in-person: work with our guesthouse for lodging and meal requests, manage meeting agendas, and record meetings
· Assist the Recruitment Department as follows:
o Monitor and manage the main email inbox, events webpage, and assist with phone calls
o Review, approve, submit, and manage expense reports for the department
o Handle administrative tasks and support team for virtual, on-site, and off-site events
o Help maintain candidate referral database
o Maintain electronic files for the department
o Assist with administrative tasks for the short-term program
o Schedule meetings with visiting Crossworld staff and/or potential candidates
o Mail recruiting materials, packages, and letters as requested
o Coordinate gifts, cards, etc. for Recruitment staff and partners as needed
· Assist the Development Department as follows:
o Work closely with finance team to resolve donor concerns
o Assist with in-house donor correspondence such as: Under-supported missionary and change of status letters, Donor prayer requests, Weekly donor thank you notes and Easter/Thanksgiving cards
o Assist with donor requests for planned giving literature
o Prepare and send acknowledgment form letters for non-cash and stock gifts
o Respond to church inquiries regarding support levels of workers
o Assist with compiling reports on items such as weekly Global Advance Fund gifts, donor retention, and appeal performance
· Assist the Communications Department as follows:
o Process and ship orders and giveaways
o Maintain and manage inventory and delivery of print materials, media room supplies, and office supplies
o Collect content, compile, and send the In-House Info weekly email
o Print envelopes for quarterly mailings
o Reply to notes and prayer requests from alumni
o Assist with onboarding new home office staff
o Update the glass boards on upper and lower levels for events
o Assist with training events and video shoots as needed
· Other responsibilities
o Attend prayer time twice a week and lead this prayer time occasionally
o Participate in weekly staff meeting
o Participate in department meetings as requested
o Other duties as assigned
Location and Hours: This nature of the job responsibilities requires the employee to work in our Kansas City office for the majority of the work week. The employee must be able to function efficiently working from a cubicle in an open office area during normal business hours, Monday through Friday.
Skills: Outstanding administrative skills; competencies in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; confidence in using technology in general; relational abilities; and communication and writing skills, working knowledge of light accounting processes.
Physical abilities: The employee must be able to use a computer, type, answer phones, lift 15 pounds, and bend over to reach files from drawers.
Religious requirements: As a church organization that exists for religious purposes, Crossworld requires that all employees profess faith in Jesus Christ; be supportive of the Crossworld doctrinal statement; be an active member of an evangelical Christian church; be willing to participate in events, including Christian services, held or sponsored by Crossworld; be willing to share their personal testimony; refrain from committing any act which detracts from the Christian testimony and ministry of Crossworld and fulfill other ministry functions and requirements that may be requested by Crossworld.

We believe the Bible teaches that marriage is to be a lifelong union between one man and one woman, and that the sexual relationship is to be enjoyed uniquely within the context of marriage (Gen. 1:26-27; Ex. 20:14; 1 Cor. 6:18 – 7:4; Gen. 18:20; Lev. 20:13; Rom. 1:26-27). Because of our understanding of the biblical teaching on this matter, Crossworld does not employ or retain for employment individuals engaged in sexual conduct outside of the bounds of a heterosexual marriage relationship.
Qualifications and Expectations:
o A passion for sending workers from all professions to the least-reached
o A college degree applicable to this role and at least two years of relevant work experience
o A pleasant and cooperative attitude, respectful and supportive to co-workers and those in a leadership
o Exhibits honesty and integrity, practices good stewardship in the use of Crossworld’s supplies, equipment, material, and finances
o Adheres to the laws of government and complies with the policies and practices of Crossworld
This is a full-time position and is classified as non-exempt. The employee’s compensation also includes a generous benefits package that consists of medical coverage, life insurance, and retirement benefits. Annual vacation begins at 10 days, with 11 paid holidays; additionally, 10 sick days are allotted on January 1 each year. Paid time off (vacation and sick days) will be pro-rated for 2022, based on the first full month of full-time employment with Crossworld.
